Workforce Checklist

Volunteers, coaches and leaders make sport happen and are hugely influential in the running of a successful club.

General Manager
Responsible for the day-to-day running of the club and communicating with the committee. This can include work around facility maintenance and logistics to ensure all teams, league players and members have enough time on court for training. The role is varied and is the operational lead for the committee, ensuring all staff and volunteers are achieving the strategic objectives. They input into the club development plan regarding sports development, facility maintenance, funding and membership.

Marketing & PR Officer
Responsible for communication, publicity and promotion of the club and club activity. This person raises the profile of the club locally (in the community) and in the county, and are responsible for talking to and building a relationship with the local media and handling all social media for the club. They co-ordinate weekly match reports for all teams and age groups to be forwarded to the local press and can also be responsible for club branding and relationships with external funding clients.

Coaches (full/part-time)
Responsible for establishing and implementing the coaching programme. The type of work varies depending on the club's needs but ultimately the coach will plan fun, engaging coaching activities, sessions and programmes in a safe environment. They will give feedback on performance and help to improve technique, work with members, young people, schools, community groups and sports organisations to promote the sport. They may also design basic training programmes, work on developing more advanced techniques and game tactics, support performers at events and competitions. Some coaching roles also provide advisory services on the physical condition and mental attitude of members. Coaches may also mentor other voluntary or paid coaches. Finally, the coach may offer other services such as stringing, individual and group lessons and operate a shop from the club. Coaches develop participation programmes to help ensure a progressive club can provide a wealth of provision to its members.

Reception staff
Responsible for the front of house reception and the membership service, providing an efficient, friendly and professional service, acting as first point of contact within a club. They work as part of a team to provide administrative support to staff and committee members, and are aware of basic principles and practices of the club to ensure it can operate smoothly.


Leads the committee on club strategy, vision and mission for the benefit of the whole club including disciplinary matters and delegates duties across the committee. Builds and leads the team and provides a link to the club management. Represents an unbiased viewpoint allowing free discussion to take place and has the casting vote on any unresolved club issues. Ensure club representation at County, Regional and National levels.

Responsible for the management of the club's finances and communicating these to the committee. Keeping detailed written records of all accounts and ensuring the club operates within the annual budget. The role also holds the bank account in the name of the club and acts as a primary signatory on the club account (and appoint numerous others as agreed by the Club Committee). Preparing annual balance and profit and loss sheets for the AGM is another function of this role.

To be the ‘principal administrator’ for the club, dealing with all club correspondence, distributing to relevant officers for response where required. Preparing and distributing the committee meeting agendas, keeping the minutes of all club committee meetings and distribute copies. Keep signed copies of all meeting minutes on file and ensure all of the administrative duties are completed thereby enabling the club and its members to function effectively. This role also works alongside the treasurer to see that all affiliation/registration documents are accurate and are paid on time.

Committee Member
Attends committee meetings and supports appropriate members to deliver the club strategy. Undertakes duties aligned to the clubs action plan such as club volunteer co-ordinator and club development officer. These roles oversee the development of the club, working with the Club Committee and England Squash to maximise the development opportunities for all members of the club.

Club Welfare Officer
Responsible for safeguarding vulnerable adults and children at the club. First point of call to raise issues/concerns to. Assist the club to implement the child welfare section (including training) of the development plan and be the first point of contact for staff, volunteers, parents and children/young people where concerns about children’s welfare, poor practice or child abuse are identified. Be the first point of contact with the County Welfare Officer. Implement, through the club committee, policy directive, reporting and recording procedures. Ensure confidentiality is maintained.

Club Captain
Responsible for the management of the club's external teams. This role looks to organise the fixtures and details associated with playing at home or away in fixtures.

Sponsorship Lead
The main purpose of this role is to be responsible for sourcing additional revenue through various opportunities and ensuring sponsors needs are serviced. The role generates funds for the club and organises projects to enable this to happen. They should look for sponsorship opportunities and work with the social secretary to ascertain what opportunities are available at functions and events (e.g. draw tickets, calendar etc.).

Social Events Lead
The main purpose of this role is to organise social events to bring the players, officials and parents together in a social setting to enhance relationships with the club. You may also wish to consider inviting local dignitaries to develop and improve the club’s relationships within the community or representatives from any sponsors of the club. In both instances, this role should liaise with the Club Secretary.

Internal League Organiser
Responsible for the management and running of the internal leagues. Coordinates and communicates fixtures for different teams and players. Deals with match cancellations, players dropping out of leagues and also handling any fixture queries throughout the season. Ensures the maintenance of the league and that all members have the opportunity to participate. This role can also be responsible for running tournaments in the club.

Junior Organiser
Responsible for the organisation of junior squash activities (including coaching, playing, events and social opportunities) and reports regularly to the main Committee. They should keep the Membership Secretary up-to-date with junior membership numbers, identify any major issues regarding junior members and put forward proposals to the main Committee for consideration and final approval. They would also link closely with the Child Welfare Officer, manage arrangements for juniors/intermediates entry into tournaments and County events, and liaise with coaches regarding coaching and any school-based events.
